Privacy Policy
Last updated: March 20, 2026
This privacy policy explains how wavbee ("we", "us", or "our") collects, uses, and protects your personal information when you use our website and music distribution services at wavbee.com and associated dashboards.
1. Information We Collect
When you use wavbee's services — including wavbee.com, our artist/label dashboard, and associated distribution tools — we collect the following personally identifiable information:
- Name and display name
- Email address
- Phone number
- Physical address
- Bank account or payment details (for royalty payouts)
- Profile type (artist or label) and related metadata
- Application form submissions (stored as structured data)
- Support tickets and correspondence
We also use cookies and similar technologies to understand how visitors interact with our site, including pages visited, session duration, and referral sources. Our platform uses Action Cable for real-time features, which maintains a WebSocket connection while you are logged in.
2. How We Use Your Information
We use your information for the following purposes:
- Creating and managing your artist or label workspace and user profile
- Processing applications and verifying identity via a small token charge (e.g., $0.10 USD)
- Authenticating portal access via email-based one-time passwords (OTP)
- Distributing your music to 100+ streaming platforms
- Calculating and paying royalties (90–100% of Net Revenue depending on your plan) to your designated bank account
- Managing your subscription (Artist, Artist Pro, Label, or Label Pro) and billing cycle
- Operating the support ticketing system, email inbox, and responding to inquiries
- Sending service-related communications (release status, payout notifications, workspace invitations)
- Providing real-time notifications via WebSocket connections in your dashboard
- Improving our platform through anonymized usage analytics
- Enforcing our Terms of Service and preventing misuse
Users with legacy or grandfathered access (full access without subscription) retain data handling terms consistent with their original onboarding agreement.
3. Data Storage and Security
Your data is stored on secure PostgreSQL databases hosted on our cloud infrastructure. We implement the following security measures:
- Encrypted storage for sensitive credentials (e.g., mailbox passwords use ActiveRecord Encryption)
- HTTPS/TLS encryption for all data in transit
- Rate limiting on authentication endpoints (OTP, admin login, form submissions)
- Content Security Policy headers to prevent cross-site scripting
- Background job processing via Solid Queue — no third-party job queue services
While we take reasonable precautions to protect your information, no method of electronic storage or transmission is 100% secure. You acknowledge this inherent risk when using our services.
4. Payment Processing
We use third-party payment processors to handle transactions:
- Stripe — for card payments and subscriptions
- Razorpay — for payments in supported regions
- PayPal — for alternative payment methods (where available)
During the application process, a small token charge (e.g., $0.10 USD) is used to verify your identity. Payment credentials are handled directly by these processors and are not stored on our servers. Each processor has its own privacy policy governing how they handle your payment data.
5. Third-Party Disclosure
We do not sell your personal information. We may share data in the following circumstances:
- With music distribution partners and streaming platforms as required to deliver your releases
- With payment processors to facilitate transactions and royalty payouts
- With contractors or service providers bound by confidentiality agreements
- With legal professionals or law enforcement when required by law or to address violations of our Terms of Service
- In connection with a merger, acquisition, or sale of assets — in which case you will be notified
We may share anonymized, aggregated usage statistics with third parties for analytical purposes. This data cannot be used to identify individual users.
6. Cookies
wavbee uses cookies and similar technologies to:
- Maintain your login session and authentication state
- Remember your preferences (e.g., currency selection)
- Understand how our platform is used so we can improve it
- Provide real-time features via WebSocket connections
You can control cookie settings through your browser. Disabling cookies may affect certain features of the platform, such as staying logged in.

You have the right to:
- Access and review the personal information we hold about you
- Update your profile information through your dashboard at any time
- Request correction of inaccurate data
- Request deletion of your account and associated data (subject to legal retention requirements)

To exercise any of these rights, contact us at [email protected]. We will respond to requests within 30 days.
8. Data Retention
We retain your personal information for as long as your account is active or as needed to provide our services. If you request account deletion, we will remove your data within 30 days, except where retention is required for:
- Legal or regulatory compliance
- Resolving disputes or enforcing agreements
- Financial record-keeping (e.g., royalty payment history)
9. Children's Privacy
wavbee's services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal data, we will take steps to delete it promptly.
